A confidential accounting practice needed to move from fragile spreadsheet preparation to a system that enforces data integrity before anything hits the database—with imports at hundreds of thousands of rows without the old review bottleneck.
The team was spending significant time each week manually preparing, standardising, and checking Excel spreadsheets before importing financial data into their reporting system. With datasets regularly reaching 700,000 records, the margin for error was high—and errors were happening.
Date formats were inconsistent, decimal points were misaligned, data labels did not conform to accounting standards, and occasional typos slipped through into reports. Every import required a manual review cycle, and that review cycle was a bottleneck.
We designed and built a data management platform using Directus as the backbone, with a PostgreSQL database handling the heavy lifting on the backend.
The solution centred on a validation layer that runs before any data is written to the database. Every record is checked against the firm's accounting standards—date formats, decimal precision, labelling conventions—and errors are surfaced to the user before a single row is committed. Only clean data makes it through.
Directus handled role-based permissions so that different team members had access to exactly what they needed, no more. Bulk uploads of up to 700,000 records are processed efficiently using a batch-write approach optimised for speed, reducing what was previously an hours-long process to minutes.
Manual error-checking is no longer part of the team's workflow. Data integrity is enforced at the point of entry, reports are generated from trusted data, and the firm can process its largest datasets without the anxiety of a downstream mistake.
Let's discuss how we can design data workflows, validation, and admin experiences that fit your team.
